PayFacto US Merchant Reporting Portal

This document explains how to use the PayFacto US Merchant Reporting portal.

Log in to the Portal

During your initial account configuration, you received an email with your username, a temporary password, and a link to log into the portal. During the first login, you replace the temporary password with a personalized one.

To log on to the reporting portal:

  1. Open your web browser and type the following address: https://us.payfacto.com
  2. Enter your username in the Username field.
  3. Enter your password in the Password field.
  4. Click Login. The portal’s Home screen appears.

Forgotten Password

If you forget your password, click the Forgot Password link; the portal requests your username and email address and sends you a new temporary password.

NOTE: If you enter your password incorrectly 5 times, the portal locks your account. 

Log Off the Portal

The portal automatically logs you off after a period of inactivity. For account security, it is strongly recommended that you log off when you are done working in the portal.

To log off the portal:

  1. Click your user icon, located in the top right corner of the page.
  2. Click Log Out from the drop-down menu. 

    The session closes and disconnects from the server.

Understanding the Portal

The portal interface is intuitive and easy to navigate; the following table describes the main areas of the portal:

Default view displays the Merchant Selection page.


Menu area displays a list of available reports and functions.


Profile menu allows you to change your user profile and log out.


Available Reports

The following table describes the available merchant reports from the menu area:

Report name

Description

Processing Summary

Enables you to search for summary information on transaction processing for a specified date range. The default date range is the last 4 days of transactions, including the current day.

Batch Summary

Allows you to view the Batch Summary over a specified date range. The default date range is the last 4 days of transactions, excluding the current day.

NOTE: This report does not include activity for the current day.

Chargeback Summary

Enables you to search for chargebacks over a specified date range. It shows the chargeback activity that was performed for the life cycle of the chargeback. The default date range is the last day of transactions.

Deposit Summary

Allows you to view deposit information over a specified date range. The default date range is the last 4 days, including the current day.


Merchant Statements

Enables you to view your merchant statement for a specified month. The default date selection is the previous month.

Generate a Report

The procedure to run a report is the same, no matter which report you wish to run. Refer to Available Reports for a description of what information each report produces.

To generate a report:

  1. From the left-side menu, click the report you want to run. The report’s Search page appears.
  2. Select the Start Date and the End Date to specify the date range for the report.
    NOTE: The Merchant Statements report uses a specific month and year as its input.
  3. Click Run Report to generate the selected report for the selected date range.
    The report appears in the [Report Name] Results section, below the date entry fields.

After you generate a report, you can:

  1. View more information
  2. Download the report
  3. Change the number of results that appear

View More Information

When you generate a report, you can view more information about the results. There are two ways to view more information:

  1. Navigate through the results pages: If the report returns more results than can appear on the page, click the navigation links at the bottom right of the results section ().
  2. Double-click a line of information: To view details about a report results line entry, double-clicking the line will display additional information.

Download Report

You can choose to download the report to your computer if you want to save a copy of the report for further analysis or record keeping. By default, the file name is the selected report and date range. The portal offers two formats to download your report:

  1. Excel: Data in the report is saved using an Excel format (.XLSX), which requires Microsoft Excel to edit.
  2. PDF: The report is saved as a Portable Document Format (.PDF) file, allowing you to view or print the report outside of the portal.

To download a generated report:

  1. On the report results section header, click the icon for the desired download format:
  1.  Excel format
  2.  PDF format
  1. In the Save As window, browse to a location to save the.XLSX or .PDF file.

Change Number of Results that Appear on a Page

By default, the portal displays 10 results per page. If you want to view more entries on the same page, you can adjust the number of results that appear when you run a report; the options are 10, 25, 50, or 100.

NOTE: The Batch Summary report allows you to display 10, 25, 50, or All.

To change the number of results that appear on a page:

  1. In the report results section, select the number of results to display on the page from the Show entries list:
  2. The results section adjusts the results for the selected number of entries.

Search for a Specific Transaction

The portal allows you to search for one or more specific transactions using multiple criteria. The more search criteria you use, the narrower the results. You can search for a transaction using any of the following criteria:

  1. Last 4 digits of a credit card
  2. Expiration date
  3. Card type
  4. Transaction amount
  5. Authorization code
  6. Authorization response
  7. Start date
  8. End date

NOTE: If you are searching for a transaction by date range, the Start Date and End Date must be within five (5) days of each other. The portal displays a message if your search date range exceeds 5 days.

To search for a transaction:

  1. From the left-side menu, click Transaction Search. The Transaction Search page appears.
  2. Select the Start Date and the End Date to specify the date range for the report.
  3. Click Search to retrieve the transactions that match the search criteria.
    The result(s) appears in the Transaction Search Results section, below the search criteria fields.

Using the Dashboard

The Dashboard displays merchant processing volume information. Processing information appears in 3 formats:

  1. MTD Portfolio Processing Volume by Card Type: A list of the card types, including daily count and volume, as well as Month To Date (MTD) count and volume.
  2. Processing Volume: A chart of the processing volume by band card and other cards for the last 12 months.
  3. Top 10 Merchants (current month): If your merchant account includes multiple businesses that accept card payments, this list displays the performance of the top 10 merchant IDs (MIDs).

Understanding the Merchant Selection

When you click Merchant Selection from the left-side menu, the Application List appears. This section displays the status of your applications for any businesses assigned to your merchant account. 

You can double-click on a merchant identification line to view that merchant’s Dashboard.

IMPORTANT: If your merchant account only contains a single business /merchant ID (MID), the Application List displays only that entry.

User Account Settings

The portal’s user account settings allow you to set your default home page and change your password. The following sections explain how to perform these tasks.

Set Your Default Home Page

By default, the portal displays the Merchant Selection page as the Home page. You can change the page that appears when you log into the portal if desired. 

To change your default home page:

  1. Click your user icon, located in the top right corner of the page.
  2. Click Settings from the drop-down menu.

    The Settings page appears.
  3. If necessary, click the Default Homepage tab.
  4. Select the new home page from the Select your default homepage list.
  5. Click Submit.

Change Your Password

You can change your login password if required. 

To change the password:

  1. Click your user icon, located in the top right corner of the page.
  2. Click Settings from the drop-down menu.

    The Settings page appears.
  3. Click the Security tab.
  4. Enter the current password in the Current Password field.
  5. Enter the new password in the New Password field.
  6. Re-enter the new password in the Confirm New Password field.
  7. Click Submit.
